CallLens dashboard: call volume, conversion and hidden demand across a dental clinic network
01 · The challenge

A problem they could feel but couldn’t measure

A multi-site US dental clinic network – eleven offices, thousands of monthly patient calls per month – had a problem they could feel but couldn’t measure. Patients were telling them that front-desk communication wasn’t always meeting expectations. Some appointments were slipping, promising calls weren’t converting to bookings, and nobody knew how often staff were following internal guidelines around offering complementary treatments.

Analyzing those calls manually was impractical – hundreds of hours a month. Meanwhile, the revenue impact kept compounding – thousands of dollars in missed bookings, every month.

02 · A golden match – datarabbit

Leadership needed visibility, and wanted it fast

Leadership needed visibility, and wanted it fast. The network found datarabbit through a referral. 30+ healthcare engagements and deep understanding of both AI and healthcare operations made them the ideal partner to deliver results quickly.

03 · CallLens: the solution

Phone conversations turned into operational intelligence

datarabbit designed and built CallLens platform end-to-end – a custom call analytics platform that turns phone conversations into operational intelligence. The core: a high-precision speech-to-text pipeline with custom dental/medical terminology, feeding an automated scoring multi-NLP/LLM model engine that evaluates every call for conversion, playbook rules compliance, sentiment, and unmet demand signals.

The platform delivers three layers of value. A Dashboard for real-time visibility into performance across all locations. An Insights Playbook that aggregates findings into prioritized actions. And an Analysis Tab that lets managers drill from any signal down to the specific calls that matter. Everything runs on HIPAA-compliant infrastructure with end-to-end encryption, role-based access, audit logging, and cloud-provider BAA in place.

04 · Business impact

Things the network had no way of seeing before

CallLens revealed things the network had no way of seeing before. Two dental procedures patients were actively asking about weren’t even on offer – one was introduced as a new revenue stream. Implant procedures already available turned out to be virtually unknown to patients; after updating the website based on these findings, bookings for those specific procedures jumped 41% within three months.

The compliance picture was equally telling. Almost half of all calls weren’t following internal guidelines for front desk agents – especially around proposing complementary treatments. After enforcement backed by CallLens data, playbook non-compliance dropped to single digits – and call-to-booking conversion rose by 11%. Across the network, the combined effect translated to a solid six-figure additional monthly revenue.

CallLens before and after: from ad-hoc review of single calls to 100% automated monitoring across 11 sites, real-time dashboards and playbooks, single-digit non-compliance with an 11% conversion lift, new revenue streams from discovered patient demand and six-figure additional monthly revenue

“Previously, we had an inkling of what could be wrong – but now we know for sure. It’s been a game changer, and we’re acting on those insights every day.”
